Your Mission
As Executive Assistant, you will play a vital role in ensuring the smooth and efficient functioning of daily operations. In this position, you will manage a broad range of administrative and organizational responsibilities, acting as a trusted partner and key point of coordination within the department and across teams.
Sneak preview of your future tasks
- Managing the Head of Department’s calendar, prioritizing appointments, and ensuring an organized and efficient schedule
- Preparing, moderating, and following up on department-wide meetings, including agenda setting, documentation, and tracking of action items
- Planning and coordinating internal workshops—preparing agendas, managing logistics, and ensuring the smooth execution of workshop days
- Coordinating all aspects of business travel, including bookings, itineraries, and post-trip expense reimbursements
- Handling reimbursements for business-related lunches, dinners, and events in a timely and accurate manner
- Acting as a key contact for internal and external stakeholders, ensuring clear, professional, and timely communication
- Preparing high-quality presentations, reports, and briefing materials for internal and external leadership meetings
- Collaborating closely with assistant teams across departments to support cross-functional alignment and day-to-day operations
- Supporting internal projects, taking initiative, and contributing to continuous improvements within administrative processes
Your Profile
We’re looking for a highly organized and proactive Executive Assistant who is comfortable supporting senior leadership in a fast-paced, international environment. You’re someone who brings structure, clarity, and a positive attitude to everything you do.
Must-Have:
- A completed degree (Bachelor’s or Master’s) in Business Administration, Management, or a related field
- 2–3 years of experience in an executive support or administrative role
- Excellent verbal and written communication skills in English
- Strong organizational skills with high attention to detail
- Ability to manage multiple tasks and priorities with efficiency and professionalism
- A proactive mindset with strong problem-solving skills
- Strong interpersonal skills and a collaborative, service-oriented working style
- Willingness and flexibility to work in a hybrid environment (combination of office and remote work)
- Experience working in agile teams or environments
- Familiarity with the software or automotive industry
- Proficiency in German (written and spoken)
